Profitability

Project profitability: which work pays off

Budget, cost and sale price against the hours each person actually put in. A traffic light per project tells you which one is on track and which one is eating your margin, before you invoice it.

The numbers

Where every figure comes from

Nothing gets typed twice. The hours come from the timer and the prices from each person and each project.

Rate/h and cost/h

Everyone has a selling rate per hour and a cost per hour. Only admins see and change them.

Real hours

Logged on the project, on its jobs and on its tasks. They all count.

Budget, cost and final price

In the project’s profitability block. Cost is whatever isn’t hours: printing, licences, outside services.

Hourly price= hours × each person’s rate/h

Hourly cost= hours × each person’s cost/h

Result= sale price − the price of all its hours

The traffic light

Green, yellow or red, at a glance

Every project carries a coloured dot. The rules change once the project is invoiced, or done with a sale price, because from then on what matters is the money.

While the work goes on

  • Below 80% of its hour limit
  • Between 80 and 100% of the limit
  • Over the limit
  • No hour limit: grey, nothing to measure it against

Once invoiced or done

  • The sale price covers the price of all its hours
  • The price of its hours is above the sale, but it never turns red

The detail

Who worked how much

Open a project to see its hours, the price and cost of those hours, the project cost, the budget and the sale price. Below, each person’s participation: their hours, their rate and cost per hour, what it adds up to and what share of the project is theirs.

And also

What it saves you a spreadsheet for

Automatic sale price

Mark a project as invoiced without a sale price and Wolovy fills it in: budget plus cost or, if there’s neither, the hours times each person’s rate/h.

Forecast in the calendar

The calendar’s month view shows admins that month’s logged hours, their cost, the budget and the sale price.

Only the right people see it

Profitability is for admins. And if you don’t want it, it switches off for the whole company.

Questions

About profitability

What is it called in the app?

Economic Health. It’s in the side menu and only admins see it. On this site we call it Profitability.

Where do I set what each person costs?

In Users: everyone has a rate/h and a cost/h. Only admins see and change them.

What does a yellow project mean?

If it’s still going, it has used between 80 and 100% of its hour limit and hasn’t gone over yet. If it’s invoiced, or done with a sale price, the price of its hours is above the sale price.

Do task and job hours count?

Yes. Every hour logged on the project counts: direct, on its jobs and on its tasks.

Does the team see profitability?

No. Profitability is only visible to the company’s admins.

Can I look at a specific date range?

Yes: current month, last 30 days, current year, previous year or a custom period.

What if I invoice a project with no sale price?

Wolovy works it out: budget plus cost or, if there’s neither, the hours times each person’s rate/h.

One tool. The whole agency.
